Rules & Regulations for
Participating Exhibitors

Sharing of Stall
No Exhibitor will be allowed to share /
accommodate any other party / company in his
stall without prior permission from organisers.
Transfer of Stall
No Transfer of stall / stand will be allowed
without written permission from the organisers.
No Third-Party Booking
No third party booking is allowed. Exhibitor
booking stall will only be permitted to display
the products / services as per information
provided to the organisers. Stall / Stand once
allotted will not be transferable.
Cancellation of
Booking
In the event of cancellation of the booking
of stall by the exhibitor for their own reason
the amount so paid by the party for booking of
Stall / Stand will automatically forfeited.
Security Arrangement
Organisers will not be held liable for any
theft, damage or loss of any property of the
exhibitors. Though sufficient security
arrangement will be made by the organisers.
Utilisation of Stall
Space
No construction / demonstration work or
activities will be allowed outside the stall
area provided to the exhibitors. If any
exhibitors is found making construction outside
allotted space the same will be dismantled by
the organisers at the exhibitors risk and cost.
Movements of Exhibits
Exhibits / material must be brought into the
exhibition hall and taken out only through
specified area.
Noise and Odors
No noisy or obstructive work will be
permitted during open hours of the exhibition,
nor will noisily operating displays or exhibits
producing objectionable odors be allowed.
Removal of Exhibits
Exhibitors expressly agree not to begin
packing or dismantling their exhibits until the
exhibition is closed officially. Material left
behind beyond the specified closing time will be
removed at the expenses of exhibitors.
Dismantling of Stall /
Stand
The dismantling of Stall / Stand will be
done by organisers but materials exhibited must
be removed from the venue no letter than
midnight of last day of exhibition. Gate Pass
(Valid Exit Permit) is a must to remove
exhibitors / materials from the Exhibition Hall.
No Retailing / Selling
of Goods
No exhibitors under any circumstances will
be permitted to sell / retail his products /
service at the exhibition. He is allowed to do
the booking of the goods / products. Any
negligence on the part of the exhibitor will
make him liable to vacate his Stall / Stand
immediately once it comes to the notice of the
organisers.
Banners, Hoarding etc.
No hoardings, banners, etc. will be allowed
on the premises and in the complex or on the
roads in the vicinity unless specific prior
permission is obtained from the organisers.
Exit Permit
No material / exhibit will be allowed to be
taken out of the exhibition hall without a Valid
Exit Permit.
Cleaning
General cleaning of the exhibition hall and
surrounding areas and individuals stalls both
inside the covered space and in the open areas
will be done by the organisers.
Storage of Packing
Cases
No empty cases / packing material will be
allowed to be kept in and around the exhibition
hall. Storage facility will be provided at the
venue at Free of cost.
Cinematography Film
Exhibitors who propose to show films in
their stall should notify organisers and must
make arrangement to ensure that adequate fire
and safety precautions are installed.
Car Park
Parking will not be permitted within the
exhibition premises or on the road near it,
except in car parks provided exclusively for
exhibitors and visitors.
Oral Agreements
Oral agreements become valid only after they
have been confirmed in writing from both sides.
Liability of
Organisers
In case the exhibition is cancelled or
postponed, liability of the organisers is
limited to refund the fees paid by the
exhibitors.
Mode of Payment
The payment for obtaining confirmation of
the booking of Stall! Stand will only be made,
once Demand! Draft / Cheque* on a local branch
is received in favour of Aditya Exposition
(P) Ltd. and payable at Bombay.
The payment of stall
shall made as under.

50%
amount of Stall! Stand charges to be paid with
Space Reservation Form.
? Balance 50% amount of stall charges to be
paid 15 working days in advance before the
commencement of exhibition. (*Outstation cheques
will not be accepted)
? In case an exhibitor fails to follow the
payment schedule his booking of Stall / Stand
liable to be cancelled and amount paid for the
booking of Stall! Stand will be automatically
forfeited.
Catering Inside
Forbidden
No eatables or drink of any kind to be taken
inside the hall or passages.
Claims for injuries or
Loss
It is expressly agreed that neither the
organisers nor the convention facility shall be
liable or held accountable for any losses,
damages or injuries which may be sustained or
incurred by any person whomsoever, who may be on
the premises reserved by or assigned to an
exhibitor.
Badges for Exhibitors
Organisers will provide the exhibitors with
proper badges. The Stall of Exhibitor's are
required to wear the badges through out the
duration of the exhibition in order to enable
the authorities to recognise them.
Authority of
Organisers
Organisers reserve the right to be the final
authority in setting any dispute.
Interpretation
The decision of the organisers as regards
interpretation / relaxation of Rules &
Regulation shall be final and binding on the
exhibitors.
Organiser's Not
Responsible for Failure of Services
The Exhibition hall is equipped with
electric supply and water supply, lifts, etc.
While every effort shall be made to maintain the
services in order, the organisers shall not be
responsible for any failure or breakdown or
curtailment of the services.
Floor Plan
Organisers have full authority to change
floor plan of exhibition without prior notice to
the exhibitor's.
Confirmation of
Booking
The exhibitors are required to fill in their
choices of Stall / Stand and the exhibitors will
be allotted Stall / Stand as per the
availability of the same.
